Guide to adding new products, tracking stock across multiple branches, and setting low-stock alerts.
Effective inventory management is critical. Shrelix ERP provides real-time stock tracking across all branches.
Go to Inventory > Add Product. Enter the product name, SKU, Category, and base price. You must define the initial stock level for each branch during setup.
Every time you create a Sales Invoice, the stock is automatically deducted from the respective branch. Conversely, every Purchase Order that is marked as "Received" increases the stock.
In the product settings, you can define a "Minimum Stock Alert" threshold. When stock falls below this number, the product will appear highlighted on your dashboard, reminding you to reorder.
How to invite employees, set up branch-specific access, and manage role-based permissions.
As an administrator, you can add your employees to the ERP and restrict exactly what they can see and do.
Step 1 Go to Staff & HR > Add Staff.
Step 2 Fill in their personal details, assign a unique username, and set a temporary password.
Step 3 Branch Assignment: Select which branch this staff member works at. They will only see sales, stock, and customers related to this branch.
Step 4 Permissions: Use the checkboxes to grant specific rights (e.g., "Can create invoices", "Can view reports", "Cannot delete records").
Once saved, the staff member can log in immediately with their credentials.
How to add, edit, and maintain a directory of your clients and suppliers for quick invoicing and purchase orders.
Maintaining a clean directory of Contacts ensures faster billing and accurate ledgers.
Go to Contacts > Customers. Here you can view all customers. Click "Add Customer" to save their Name, GSTIN, Address, and Phone Number. Every customer has an automatic Ledger generated which tracks all their past invoices and payments.
Go to Contacts > Vendors. Vendor profiles are identical to customers but are used strictly for Purchase Orders and recording Expenses.
Create detailed purchase orders, send them directly to vendors, and convert them to purchases upon delivery.
To restock your inventory, you should create a Purchase Order (PO).
Step 1 Navigate to Purchases > Create PO.
Step 2 Select the Vendor and the Branch that requires the stock.
Step 3 Add items to the PO, specifying the quantity and the agreed purchase price.
Step 4 Save the PO. At this stage, inventory is NOT affected.
Step 5 When the goods arrive, open the PO and click "Mark as Received". The system will automatically add the items to your branch's stock and update the Vendor's ledger with the payable amount.
Keep track of incoming customer payments and outgoing vendor settlements, including cash and bank transfers.
Tracking cash flow is handled via the Payment Vouchers module.
Go to Finance > Add Receipt. Select the customer. The system will show their current outstanding balance. Enter the amount received, select the payment mode (Cash, Bank Transfer, UPI), and add an optional reference number. Saving this will reduce the customer's outstanding balance.
Go to Finance > Add Payment. Select the vendor, enter the amount you are paying them, and save. This reflects as an expense in your Cash Flow statement.
